CLASSIFICATION: Full-Time Regular

JOB SUMMARY: Provides support by implementing and maintaining office systems, procedures and policies.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Prepares memorandums outlining and explaining administrative/office procedures and policies and monitors compliance.
  2. Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  3. Directs preparation of records such as agenda, notices, minutes, and resolutions for meetings.
  4. Acts as custodian of program documents and records.
  5. Assists in the preparation of monthly and quarterly reports to funding source and senior management.
  6. Supports management staff by using various software programs to produce required reports, process charts and performance tables, and creates documents, forms, marketing fliers, and other necessary print materials.
  7. Composes and prepares confidential correspondence, reports, and other complex documents.
  8. Creates and maintains database and spreadsheet files.
  9. Arranges complex and detailed travel plans and itineraries as needed. Compiles documents for travel-related meetings, and accompanies supervisor when requested.
  10. Places calls and manages relationships with service vendors ensuring that all items are received and invoiced in a timely manner.
  11. Uses personal computer to input into automated reporting system. Assists staff in completing documents accurately and expeditiously.
  12. Maintains organized and efficient filing system.
  13. Assists in ordering and maintaining inventory of supplies and materials.
  14. Contributes to the team effort by performing other duties as assigned.

 

SUPERVISORY RESPONSIBILITIES: NONE

 

JOB QUALIFICATIONS:

  1. High school or equivalent (GED) plus additional college coursework or business credential.
  2. Two to four years providing administrative support at a management level.
  3. Excellent verbal, written and interpersonal skills necessary to effectively communicate and work effectively with all levels of staff, customers and the general public.
  4. Proficient word processing skills necessary to maintain various records and reports. Ability to type 50 w.p.m. is required.
  5. Strong organizational skills.
  6. Must possess a strong working knowledge and demonstrated ability to use MS Office including Word, Excel, and PowerPoint to assist in the preparation of reports, charts, data tables and graphs.
  7. Bilingual language skills in English/Spanish or English/Arabic a plus.
  8. Mental ability to handle pressures related to dealing with confidential and/or highly sensitive issue and completing tasks and assignments in a dynamic work environment under tight deadlines.
  9. Must possess and provide a valid Michigan Driver’s License. Must be willing to work a flexible schedule and be able to sit for extended periods of time.

 

PHYSICAL REQUIREMENTS: The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this position. While performing the duties of this job, the employee is regularly required to see, talk and hear. The employee is frequently required to stand, walk, sit for extended periods of time, and have sufficient hand, arm, and finger dexterity to operate a phone, computer keyboard, and other office equipment. Must be able to lift a minimum of 20 pounds.

 

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. This job operates in a normal office environment with little discomfort due to noise, dirt, dust and the like. This role routinely uses standard office equipment such as computers, phones, photo copiers, filing cabinets and fax machines.
